The Inside Scoop - How to Amplify your Next Event
In this month’s blog post, we have been delving into the mind of Louise Towers, our Experiential and Communications Director here at D2. With projects ranging from a private dinner at HSH Prince Albert of Monaco’s palace, to virtual events with Olympians, to open weekends at famous distilleries in the Scottish Highlands, Louise has been involved in a diverse spectrum of programs. With an abundance of experience under her wing, she has been sharing her top tips on how to deliver outstanding events.
1. Identify your objectives
In order to deliver excellent results, it is crucial to always identify steadfast objectives for the project in hand. Asking three integral questions;
What do you want this event to achieve?
How do you want the guests to feel?
What are the messages you want them to take away?
These questions can be an effective way to drill down on the primary aims and objectives of the project. By identifying objectives, the project stays on track throughout the planning, development, and implementation stages, delivering on the client’s expectations.
2. Creativity is everything
We absolutely love making memorable experiences and developing truly engaging events. Big impact and lasting impressions are made when expectations are not only met but exceeded and this is what we, at D2 always try to do. Creativity and out-the-box thinking is the secret to creating unique experiences. From global company gatherings to bespoke Board visits, we love coming up with creative ideas and delivering on them.
3. Planning is key
As the saying goes, fail to plan, plan to fail. Renowned for her own meticulous planning and attention to detail, Louise is an advocate for always having a good project plan. With a solid plan, tracking progress, communicating with clients, and managing resources becomes a whole lot easier. Having a working document with all actions for the project, both completed and to be completed, is a key aid in tracking progress.
4. Build a brilliant network
One of the best tricks up Louise’s sleeve is the brilliant network she has built. Making connections and building relationships with great people and great businesses makes running events a whole lot smoother. Knowing the right professionals for the job and creating a team of people that can work effectively together facilitates great communication, collaboration, and trust – primary ingredients for a successful event.
5. The devil is in the detail
From visiting venues, to checking the toilets, to double and triple checking measurements, we firmly believe in assiduity to the small details. It is these small details where an average event can be elevated to outstanding, where attention and consideration has been given to all aspects of the customer experience.
6. Lead and delegate
When on site at an event, it is so important to communicate and ensure that everyone knows who is doing what. With multiple moving parts, having a strong lead and clear roles and responsibilities safeguards against any potential confusion. Further, being able to delegate effectively to your team allows them to deliver on the many different things that have to happen, ensuring everything gets done.
7. Remain calm
S*** happens, things inevitably go wrong. When faced with such circumstances remaining calm is the number one way to navigate through this. Despite having a Plan B/C/D (and even E!), it is simply not possible to pre-empt every eventuality. Staying calm, working through the options, and taking decisive action is always the best response to adversity.
8. Review and Reflect
At the end of a project, we always review and reflect on the proceedings, asking important questions such as what went well/didn’t go well? What can we do differently next time? Were there any opportunities where something could have been elevated? However, despite our own conclusions, it is never for us to say if an event went well but for our clients and their guests to think so. Happy customers = happy agency.
